WeBase HAKATA Rules of Use

To ensure the safety and security of guests while using the facilities, we have established the following Rules of Use (hereinafter referred to as the “Rules”) in accordance with Article 10 of the ‘WeBase HAKATA Hostel Terms and Conditions for Accommodation’ (hereinafter referred to as the “Terms and Conditions”). We appreciate your cooperation in complying with the Rules of Use.
We ask all guests to follow the instructions of our staff members regarding provisions in the Terms and Conditions for Accommodation and the Rules of Use. Failing to abide by the Rules of Use may result in a refusal to stay or use the facilities of the hostel stated under Article 7 of the Terms and Conditions for Accommodation.
The hostel will not be held liable for any damage incurred by the guests who fail to comply with the Rules of Use.
Additionally, in the event that any damage occurs to the hostel, guests may be required to compensate for the damage. We kindly ask for your understanding.

 

Regarding the Use of Facilities
1. All Guest Rooms shall not be used for commercial, business, or any other purposes other than lodging.
2. Distribution of and/or display of any advertising material or sale of goods on the premises without proper permission from the hostel is strictly prohibited.
3. Distributing leaflets or signature petitions or engaging in any other advertising activities on the premises is strictly prohibited.
4. Please refrain from ordering or bringing food or drink from outside restaurants into the hostel unless otherwise approved by the hostel.
5. Displaying any items that may alter the appearance of the hostel is strictly prohibited.
6. Minors are not allowed to stay by themselves unless otherwise approved by the hostel.
7. Please refrain from offering any gratuities to any staff members.

 

Regarding the Room for Accommodation
1. For security and safety purposes, please keep your room locked.
2. In the case where any visitor requests to enter your room, please confirm the identity of such person before unlocking your door. If you suspect any suspicious person, contact the front desk or any staff member immediately.
3. In accordance with Article 8 of the Terms and Conditions for Accommodation, inviting or allowing anyone to stay in rooms other than the guest and registered companions is prohibited.

 

Regarding the Common Areas
1. For safety purposes, please confirm and check the evacuation route map and emergency exits on each floor.
2. Entering emergency facilities and/or rooftops is prohibited except under unavoidable circumstances including emergencies.
3. Entering reserved staff member areas is prohibited.
4. Please refrain from leaving personal belongings in any public space or lobby area.

 

Regarding the Operation Hours
1. Generally, such detailed operation hours for facilities are as defined below. Operation hours of any other facilities are given in the brochures provided at the front desk and posted in various areas of the hostel. Please note that operation hours are subject to change.
(1) Service Hours of Front Desk and Cashier
(a) There is no curfew period (Note: the main entrance will be locked from 11:00 PM until 5:00 AM, make sure to bring a keycard along when you leave the hostel)
(b) Front Desk services available 24 Hours (Note: Check-in and check-out time on the next item)
(c) Lounge available for 24 Hours
(2) Check-in and Check-out Hours
(a) Check-in Hours: 4:00 PM until 11:00 PM
(b) Check-out time: 11:00 AM
(3) Service Facilities Operation Hours
(a) Laundry Room available for 24 Hours
(b) Vending Machines available for 24 Hours
(c) Shower Room available from 4:00 PM until 11:00 AM the next day (Cleaning time: 3:00 AM until 5:00 AM)
(d) Self-service Cloakroom: 8:00 AM of the Check-in Day until 10:00 PM of the Check-out Day
2. Use of the guest room outside the period specified in Article 9 of the Terms and Conditions for Accommodation Provision 2 may be acceptable, in such case an extra charge at the rate of 1,000 Yen per room per hour will be charged.

 

Regarding Sanitation Management
1. The guest whom the hostel deemed to fall under any of the following categories may be requested to refrain from accommodation, reject the usage of any facilities, or even be restricted from moving around the hostel.
(1) In the case that the guest is suspected of being infected with food poisoning infectious diseases such as Norovirus.
(2) In the case that the guest is suspected of being infected with any infectious diseases specified in the Law Concerning Prevention of Infectious Diseases and Medical Care for Infectious Patients or any related Enforcement Regulations.
(3) Any other symptoms similar to the above-mentioned.

 

Regarding Filming and Photography
1. Photographing, filming, or recording on the premises for commercial use or business purposes without proper permission from the hostel is strictly prohibited. Additionally, private filming or recording is not allowed for commercial use or business purposes without proper permission from the hostel.
2. Please refrain from taking photographs that may disturb the other guests or users of the hostel (Hereinafter referred to as “The other guests”) without proper permission from the hostel, either for private use or any other purposes that may cause the other guests to feel uncomfortable.

 

Regarding Smoking
1. Smoking is strictly prohibited in all hostel facilities except in designated smoking areas. In the unlikely event that smoking is found in a non-smoking area, or the smoking caused inconvenience or damage to the hostel or the other guests, the hostel will immediately issue a fine to compensate for the damage regardless of the reason. If payment cannot be made in cash, the fine will be charged to the registered credit card.
(1) Amount of Fine:
Smoking or leaving cigarette in the room: 33,000 Yen
Smoking or leaving cigarettes in non-smoking areas outside the guest room: 33,000 Yen
(2) Damage Compensation Amount: The actual amount of damages incurred (including compensation for sales if the guest room became unavailable for sale).

 

Regarding Consideration for the Other Guests
1. Pets and other animals are not allowed. However, if there are separate regulations, those regulations shall apply. In addition, assistance dogs for the physically challenged person as stipulated in the Assistance Dogs for the Physically Challenged Act will be handled by the same Act.
2. Please refrain from bringing any offensive odor items into the hostel.
3. Please refrain from making loud noises, singing, turning on TV or audio equipment with loud noises, or any other noisy behaviors.
4. Please adhere to the hostel’s guidelines regarding attire in areas other than the guest rooms.
5. Please refrain from any behavior that may cause discomfort or uneasiness to the other guests.

 

Regarding the Public Policy Doctrine
1. Gambling, conduct against public morals, offensive speech behavior, or any act that offends public policy doctrine is strictly prohibited.
2. Carrying or possessing firearms, swords, narcotics, or any other unlawful items is strictly prohibited.
3. Bringing any items that may cause anxiety or threaten the safety of other guests and/or staff members or bringing large quantities of items that may interfere with the operation of the hostel are strictly prohibited.
4. If it is determined that the guest or their companion is a member of an Organized Crime Group or an affiliated member of a socially harmful organization, as specified by the Act on Prevention of Unjust Acts by Organized Crime Group Members, all further use of the facilities will be refused.
5. If the guest or their companion has been found to commit an assault, threat, extortion, coercion, or obstruction of business, the hostel can refuse all the future use and accommodation of said person.
6. If the guest or their companion violates any laws or ordinances, or if there is reasonable cause to believe such a violation may occur, the hostel reserves the right to refuse all future use and accommodation of the individual.

 

Regarding the Maintenance of the Building and Equipment
1. Moving, modifying the facilities or equipment on the hostel premises, or using the item for purposes other than intended are strictly prohibited.
2. Bringing any ignitable or flammable materials such as gunpowder, volatile oil, or any other similar substances is strictly prohibited.
3. Using any fire-related instruments for heating or cooking in guest rooms or common areas is strictly prohibited.
4. Any activity that may cause a fire on the premises is strictly prohibited.
5. Any loss, damage, defacement, or odorization to the building, equipment, fixtures, plants, etc. may result in liability to compensate for the damage.

 

Regarding Penalty Charges (Under the Terms and Conditions for Accommodation Article 6, Paragraph 2)
Note:
1. % shown above means the ratio of the penalty charge to the contract (with tax included).
2. If the contract duration is shortened, a penalty fee will be charged for the shortened period.
3. If the accommodation contract for a group has a special agreement or contract, the provision, clauses, and details of such special agreement or contract shall prevail.
